02Information We Collect
We collect information that you provide directly to us, information we receive automatically through our website and tools, and information we collect from third-party services that integrate with our system.
Information you provide:
- Name, email address, mobile phone number, business name, role, and metro / city
- Information about your business operations (case volume, intake setup, pricing structure)
- Voice recordings and transcripts when you speak with Mira, our AI intake assistant
- Chat transcripts when you message Mira through web chat, SMS, Facebook Messenger, or Instagram DM
- Calendar booking details (time, time zone, attendee email)
Information collected automatically:
- IP address, device type, browser, operating system
- Pages viewed, time on site, referral source
- Cookies and similar tracking technologies (see Section 8)
03How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and schedule consultations
- Send appointment reminders and intake follow-ups
- Provide and improve the Memetics service
- Maintain a record of express written consent for SMS communications (TCPA compliance)
- Run conflict checks and intake qualification through Mira

04SMS / Text Messaging Disclosures
Express written consent. By providing your mobile phone number through our forms, calendar booking widget, or AI intake assistant Mira, you give Memetics express written consent to send you SMS text messages related to your inquiry, scheduling, follow-up, and service.
Message frequency. Up to four (4) messages per inquiry. Frequency may vary based on the nature of your conversation with Mira and any scheduled appointments.
Message and data rates may apply. Standard messaging rates from your wireless carrier apply to all SMS messages.
HELP keyword. Reply HELP to any SMS message to receive contact information for support.
STOP keyword. Reply STOP to any SMS message to immediately opt out of all SMS communications. After opting out, you may receive a single confirmation message. To opt back in, you must provide a new express written consent.
No marketing-share clause. Memetics will not sell, rent, share, or transfer your mobile phone number, SMS opt-in data, or text message content to any third party for marketing or promotional purposes.
Carrier liability. Wireless carriers are not responsible for delayed or undelivered SMS messages.
Mira, our AI intake assistant, is configured as inbound-only. Mira does not initiate outbound SMS, voice calls, or DMs. All conversations begin with you contacting us, which constitutes the consent moment for any subsequent transactional follow-up.
05How We Share Your Information
We do not sell your personal information. We share information only as described below:
- Service providers who operate our infrastructure under strict confidentiality agreements, including GoHighLevel (CRM), Vapi (voice AI), ElevenLabs (text-to-speech), Deepgram (speech-to-text), Twilio (SMS routing), Google Workspace (email and calendar), and similar vendors necessary to deliver the service
- Law firm clients when Mira hands off a qualified intake to your selected attorney, including transcript and contact details
- Legal obligations when required by subpoena, court order, or other valid legal process
- Business transfers in the event of a merger, acquisition, or sale of assets, with notice to you
We do not share mobile phone numbers or SMS consent data with third parties for marketing. This is a hard rule, not a preference.
06Data Retention
We retain your information for as long as necessary to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. SMS opt-in records and consent timestamps are retained for at least four (4) years to support TCPA compliance documentation. You may request earlier deletion of your information by contacting us — see Section 9.

Depending on your jurisdiction, you may have the following rights:

- Correct inaccurate or incomplete information
- Delete your information (subject to legal retention requirements)
- Opt out of marketing communications at any time
